Responsible Use Policy

This policy explains what we expect from everyone who uses HearQA. It complements our Terms of Service and is designed to be easy to read and understand.

What HearQA Is

HearQA is an AI copilot for high-stakes professional and academic situations — interviews, exams, certifications, presentations, and professional conversations. It provides real-time audio transcription, video and camera capture, document AI, and coaching to help you prepare and perform at your best.

HearQA is a coaching tool. It supports your preparation and performance, but it does not guarantee outcomes. Your success depends on your own knowledge, effort, and judgment.

Your Responsibilities

When you use HearQA, you agree to:

  • Follow the rules of your organization or institution. If your school, employer, or certification body has policies about using AI tools, it is your responsibility to know and follow them.
  • Obtain recording consent where required by law. See the section below for details.
  • Use HearQA ethically and in accordance with local laws. What is acceptable varies by jurisdiction — make sure you understand what applies to you.
  • Rely on your own knowledge and preparation. AI assistance is a supplement, not a replacement. You are responsible for the decisions you make based on AI-generated content.

Recording & Consent

Many jurisdictions require consent from one or all parties before a conversation can be recorded or transcribed. Laws vary significantly by country, state, and region.

You are solely responsible for understanding and complying with all applicable recording and consent laws in your jurisdiction. HearQA does not provide legal advice on this topic. When in doubt, obtain explicit consent from all parties before using any transcription or recording features.

AI Limitations

HearQA uses artificial intelligence to generate suggestions, transcriptions, and coaching. Like all AI systems:

  • It may produce errors, inaccuracies, or incomplete information.
  • It is not a substitute for professional, legal, medical, or financial advice.
  • You should verify important information independently before acting on it.

We work to improve accuracy continuously, but no AI system is perfect. Always use your own judgment.

Your Privacy

We take your privacy seriously. Here is how HearQA handles your data:

  • Audio stays in your browser — it is never stored on or transmitted to HearQA servers.
  • Transcription text is session-only — it is not retained after your session ends.
  • Documents are under your control — you decide what to upload and can delete them at any time.
  • Export or delete your data anytime from your account Settings.
  • No data sharing for advertising or marketing purposes.

Prohibited Uses

You may not use HearQA to:

  • Impersonate another person or misrepresent your identity.
  • Create fraudulent content about your qualifications, credentials, or experience.
  • Record without required consent from all parties as mandated by applicable law.
  • Violate any applicable laws or regulations in your jurisdiction.
  • Harm, harass, or deceive others in any way.

Where HearQA Does Not Fit

HearQA is designed for situations where either (a) nothing is watching you through a camera or screen-monitoring software, or (b) the camera is a human observer on a video call (for example, an interview). It is not designed for — and must not be used during — any assessment that uses webcam proctoring, AI gaze-tracking, screen lockdown, or pre-exam room scans.

The following are never permitted use cases for a live HearQA session. For any of these, use the Practice scenario to prepare beforehand from your own study materials instead.

Proctored certification exams

  • AWS OnVUE, Pearson VUE Home/OnlineProctored, Kryterion, PSI, Certiport, Examity
  • PMP (Project Management Institute), CISSP (ISC²), CFA all levels (CFA Institute), CAIA, CFP
  • FINRA Series 7 and all other FINRA exams
  • CPA Exam sections, EA (Enrolled Agent), CIA, CMA
  • Vendor certifications delivered by any of the above (AWS, Microsoft, Google Cloud, Cisco, Salesforce proctored tracks)

Licensure and academic standardized tests

  • Bar exams (UBE and state bars, typically delivered via ExamSoft)
  • USMLE Step exams, COMLEX, MCAT
  • GRE at Home, TOEFL iBT Home Edition, IELTS Online, GMAT Online, LSAT-Flex / LSAT Online

Proctored university finals

  • Any exam delivered through Proctorio, Respondus Monitor, Honorlock, ProctorU, Examity, or any equivalent webcam-monitored service

Proctored interview / coding platforms

  • CodeSignal Interview/Screen (proctored tracks), HackerRank with proctoring enabled, Karat (technical-screen-as-a-service)
  • HireVue when AI video analysis is enabled
  • Coderbyte proctored, any interview platform with browser lockdown or gaze tracking
  • Recorded in-person interviews fed to AI analysis after the call. If a live interview is video-recorded for later AI review (HireVue-style sentiment / answer scoring), treat as off-limits unless you've confirmed in writing that no AI review will be performed.

Why this list exists. These assessments combine gaze tracking, screen recording, behavioral flagging, and human review. Detection risk is real, and the consequences — score cancellation, multi-year retake bans, certification revocation, degree holds, FINRA disciplinary action, disbarment — are severe and often permanent. No AI coaching benefit is worth those outcomes.

Using HearQA during any of the contexts above is a violation of this policy and may result in immediate account termination. You remain solely responsible for any consequences with the exam body, certification authority, employer, or educational institution involved.

Consequences

If we determine that you have violated this policy, we may take action including but not limited to:

  • Issuing a warning
  • Temporarily suspending your account
  • Permanently terminating your account

We reserve the right to act at our discretion to protect our users and our platform.
